POSITION AVAILABLE: Office Manager/Bookeeper

POSITION SUMMARY: Responsible for bookkeeping, banking, insurance, payroll, membership and ensuring that the WMA office and facilities run smoothly. Works closely with WMA Treasurer and accountant. Reports to Executive Director.

RESPONSIBILITIES:

  • Maintain financial records, including accounts receivables, invoicing, collecting and processing payments, accounts payables, and generating financial reports as needed
  • Conduct all routine banking, including deposits, reconciliations, and monitoring various investment accounts
  • Review and monitor insurance policies, maintaining appropriate coverage and conducting audits as needed
  • Manage payroll, including collection of hours, communicating with payroll service, and processing 1099s and W-2s as necessary
  • Provide support to accountant during annual audit
  • General administrative office and program support, including database management, maintaining office procedures, managing correspondence, and purchasing supplies
  • Manage membership records and registration for choristers and class members
  • Ensure proper facility maintenance in conjunction with landlord and janitorial services
  • Provide occasional support at WMA concerts and events, manage event ticketing
  • Assume administrative responsibilities as assigned by the Executive Director

QUALIFICATIONS:

  • Associate's degree or equivalent
  • Minimum 2-3 years direct experience in bookkeeping and office administration required
  • Administrative and computer skills, including strong background and knowledge of QuickBooks and Microsoft Office, as well as ability to learn new software quickly is required. Experience with database management preferred.
  • Excellent written and oral communication skills and outstanding interpersonal skills required
  • Strong organizational skills and exceptional attention to detail are a must
  • Demonstrated ability to work independently and as a team
  • Ability to work with youth and families from a variety of backgrounds required
  • A passion for music and the arts is a plus

HOURS: Part-time, approximately 20 hours per week, with additional hours as needed for audit season, major events, and concerts. Flexible schedule, but must accommodate some evening and weekend events and performances (3-4 times a year). Starting date late-May/early-June.

POSITIONS AVAILABLE: Administrative and Development Interns

POSITION SUMMARY: Assists in a wide-range of administrative projects in operations, marketing, and development, while gaining hands-on experience in the day-to-day processes involved in arts administration. Interns also work with staff to develop a project-based assignment tailored to their experience and desired areas of growth. In addition, the Development Intern works closely with our Development Director in database management and executing on elements of the annual development plan.

2-3 Administrative Internships and 1 Development Internship available

QUALIFICATIONS:

  • Arts or Arts Management majors preferred. A passion for music and the arts is a plus.
  • Excellent written and oral communication skills and outstanding interpersonal skills required
  • Strong organizational skills and exceptional attention to detail are a must
  • Demonstrated ability to work independently and as a team
  • Ability to work with youth and families from a variety of backgrounds required

HOURS: Part-time, approximately 3-5 hours per week for one or two semesters. Schedule during the workday is flexible based on the availability of the candidate. Monday and/or Thursday hours preferred for Development Intern position. Some other evening and weekend hours may be requested for events based on candidate availability. Summer internships also available on a part-time or full-time basis.

This is an unpaid-internship position, but college credit may be available based upon the requirements of your institution.
